1. Who we are

SN Consultancy (“we”, “us”) is the controller of the personal data described in this policy. We provide independent consulting and advisory services. Contact: info@sn-consultancy.nl . Our registration details are listed under Company Information on this page.

2. Data we process

When you contact us: your name, email address, organization, client type, country or jurisdiction, the content of your message and any further correspondence.

When you become a client: the information needed to carry out the agreed services, contact and invoicing details, payment records (such as the account name and number from which a bank transfer is received) and the documents you provide for the engagement through an agreed secure channel. Please do not send sensitive personal data, identification numbers or confidential documents through the public inquiry form.

3. Purposes and legal basis

• Responding to your inquiry and preparing a quotation: steps taken at your request before entering into a contract.
• Carrying out the engagement and invoicing: performance of the contract.
• Keeping accounting and tax records: compliance with legal obligations.
• Record-keeping, security and handling disputes: our legitimate interests.

We do not use your data for marketing, profiling or automated decision-making, and we do not sell personal data.

4. Who we share data with

We only share personal data where necessary, with service providers acting on our behalf (website hosting, business email and accounting software), with our bank to process payments, and with authorities where the law requires it. Service providers process data under a data processing agreement. If an engagement requires the involvement of another professional, we will only share your information after discussing this with you.

5. International transfers

We aim to store data within the European Economic Area. If data is transferred outside the EEA, for example when you are located elsewhere or a service provider is based abroad, we ensure an adequate level of protection, such as an adequacy decision or the European Commission’s standard contractual clauses.

6. Retention

• Inquiries that do not lead to an engagement: up to 12 months after our last contact.
• Client files and correspondence: for the duration of the engagement and up to 5 years afterwards, unless a longer period is needed for a claim or legal obligation.
• Invoices and accounting records: 7 years, as required under Dutch tax law.

7. Security

We use appropriate technical and organizational measures to protect personal data, including encrypted connections, access restricted to those who need it and secure storage of client files.

8. Cookies and tracking

This website does not use cookies, analytics or tracking technologies, and does not load third-party advertising or social media scripts. That is why you will not see a cookie banner. Fonts and other resources are served from our own hosting.

9. Your rights

You have the right to access, correct or delete your personal data, to restrict or object to its processing and to data portability. To exercise these rights, email info@sn-consultancy.nl . We respond within one month. You may also lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) or the supervisory authority in your country.

We may update this policy when our practices change. The date at the top shows when it was last revised.
